A Hotel Deposit and the Final Bill May Reach Your Account on Different Days

You paid the final hotel bill, yet another amount still appears against the card. Before assuming you were charged twice, find out whether that second entry is a pending authorisation, a completed deposit charge or another transaction.

Visa explains authorisation and holds as distinct parts of card acceptance. Your hotel and card issuer must confirm the arrangement and timing that apply to your booking.

Ask at check-in while the arrangement is being created

Confirm the amount, currency, purpose and payment method. Ask whether the hotel will place a hold or take a charge, and how it will handle the amount at checkout. Policies differ across properties and payment systems; an arrangement at your previous hotel does not establish this one’s rules.

Consider how the temporary reduction in available funds could affect the rest of the trip. Ask your card provider about the consequences for your specific account rather than assuming all credit and debit cards behave identically.

At checkout, collect a usable record

  • The itemised final folio and receipt.
  • Confirmation of any deposit applied to the bill.
  • The hotel’s explanation of any remaining authorisation.
  • A verified contact for a later payment query.

Ask when the hotel expects to submit the release or refund and distinguish that action from when your bank will display the change. Avoid treating a promised processing period as a universal banking deadline.

If the amount remains unresolved, compare the transaction status and reference with the folio. Contact the hotel through its official channel and your card provider as appropriate. Share only the information they need; never send a full card number or security code in an ordinary email.

Keep the conversation specific: “My final folio is this amount, and this separate entry remains pending” is easier to investigate than “The hotel took all my money.” If the entry has posted or the explanation does not match your records, ask the provider about the applicable dispute process and deadlines.

A hotel payment question often becomes clearer once the stages are separated. The reservation amount, temporary authorisation, final charge and refund are records to reconcile, not interchangeable names for the same movement of money.
