Thoughtful stays, better journeys.

If a hotel cannot honour your confirmed booking, clarify the relocation plan

Arriving with a confirmation and being told there is no room is a stressful start to a trip. The immediate task is to establish where you can stay and who will arrange and pay for the next steps.

Keep your booking reference, dates and room requirements available. Ask the hotel to explain the problem and identify the person handling the alternative arrangement. If you booked through an intermediary, contact it as well, while keeping a record of the hotel’s response.

A suggested alternative needs confirmation

Before leaving, ask whether the replacement hotel has actually accepted the booking. Confirm the address, arrival time, room capacity and any essential accessibility requirements. A name written on paper is not the same as a room held for your party.

Discuss transport, the new room charge and any difference in cost. Ask for the agreed arrangement in writing. For example, a family arriving late needs to know whether the alternative can accommodate everyone together; a nearby available room for one person does not solve that problem.

Check the protection that applies to your booking

Some hotel programmes have specific reservation guarantees. Marriott’s Ultimate Reservation Guarantee, for example, describes protection for eligible members at participating properties. Eligibility, exceptions and procedures matter. It is not a universal entitlement for every traveller or hotel.

Your contract and local consumer rules may provide other remedies. Save confirmations, messages and itemised receipts so you can explain what happened without reconstructing it from memory. If you must arrange accommodation yourself, tell the responsible booking party and clarify the cost position first where practicable.

Once you are safely settled, pursue any unresolved refund or compensation through the appropriate channel. At reception, a calm, specific checklist—confirmed room, suitable facilities, transport and costs—helps turn a vague promise of assistance into an arrangement you can use.
